One Essential Audit to do in January

Audits for therapists to do in the new year with TherapyNotes help

January has so many feelings wrapped up in it. Thank goodness last year is over, maybe this year will be better, and a feeling of opportunity. Really, it’s just the change of a date, but we feel something inside…changing and growing.

Sure, we set goals and outcomes we want for the new year, but what are we actually doing to make this year better than last year?

Hackers continue to break into Zoom, US Government databases, and private companies. It’s more important than ever to make sure you have a good idea of where the data is stored within your practice.

Also, with so many teams working remotely you want to make sure that everything is secure, let’s walk through the one audit you have to do around your billing and organization:

  1. How much do you know about the day-to-day billing
  2. Is your electronic health records integrated with your billing, notes, and security?
  3. Can your assistant help out, so it’s not all reliant on you?

Electronic Health Records questions:

Calendar and To Do List for Therapists:

To be most efficient, is your team of therapists’ calendar system integrated? You’ll want to spend less time on paperwork and more time with clients using a fully-integrated scheduling system.

HIPAA Compliant Notes:

Do you know if your therapists are following HIPAA? What checks and balances do you have? You’ll want your EHR to have instant access to your records.

Medical Billing:

Does your current system seem complicated? Your system should have electronic insurance claims, assisted ERA payment posting, billing reports, superbills, and fully-integrated so you get paid faster.

Credit Card Processing:

Do your clients have multiple ways to pay? Also, you want to have a PCI-compliant system with a low percent…shoot for below 2.7%.

Secure and HIPAA Compliant Telehealth:

In today’s world, you need to make sure your telehealth is not Skype or Zoom. Instead, your EHR should offer secure, online video appointments.

So how did you do with your audit? Think about the time, worry, and frustration you could save if you don’t have everything on this audit list. A lot of people will say, “But all my data is already in my system, I don’t want to change!” Any company that you switch to should offer unlimited phone and email support every day of the week.

Here at Practice of the Practice, we’ve been recommending TherapyNotes for over five years. We have a direct connection to help influence the industry.
